Privacy policy

This policy describes how we handle information across our websites, portals, APIs, integrations, and related services.

Authorized Credit Card Systems ("ACCS," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit authorizedccs.com, communicate with us, use our contact or ordering flows, access hosted portals or API documentation, or interact with payment, point-of-sale, CRM, transaction, reporting, and integration services we operate (collectively, the "Services").

Some Services are operated for business customers or their authorized users. In those cases, we may handle personal information as a service provider or processor on behalf of that business customer, and that customer's own privacy notices, contracts, or instructions may also apply. This policy does not name individual customer deployments.

Information we collect

Depending on how you interact with us, we may collect:

  • Information you provide. Name, business name, title, email address, phone number, mailing and billing addresses, support requests, contact form messages, order notes, and similar details you submit to us.
  • Account and portal information. Login identifiers, role or permission settings, session activity, time-zone or profile preferences, and administrative records for authorized users of customer, staff, CRM, order, metrics, documentation, or API portals.
  • Commercial and transaction information. Details relevant to quotes, onboarding, hardware, supplies, invoices, payment sessions, transaction updates, receipts, fulfillment, refunds, support, and integrations. We may receive payment tokens, transaction identifiers, statuses, amounts, limited card descriptors, address verification details, and related metadata from payment providers. We do not intentionally store full payment card numbers in our own application databases.
  • CRM and communications data. Case titles, participants, email addresses, message headers, snippets, body text or sanitized HTML, signatures, attachment metadata, labels, and other information needed to import, display, route, or reply to support and CRM messages. Attachment files may be retrieved from the connected provider when an authorized user requests them.
  • Integration and API data. Records submitted to or returned from customer-authorized integrations, including names, payment or transaction JSON, client request identifiers, pagination state, timestamps, webhook or polling data, and operational status information.
  • Technical and usage data. IP address, browser type, device information, request headers, user agent, referring URLs, pages viewed, API route usage, error data, rate-limit data, logs, and general location derived from IP address.
  • Files and content. Documents, images, email attachments, uploaded files, or other content you or authorized users submit to a Service.

How we use information

We use the categories above to:

  • Respond to inquiries, provide quotes, complete onboarding, deliver training, and support merchants, customers, and authorized users;
  • Operate public websites, contact forms, shopping and order flows, payment features, hosted portals, APIs, CRM/email tools, transaction update services, documentation, metrics, and integrations;
  • Authenticate users, issue and validate tokens or sessions, manage permissions, and secure accounts;
  • Process orders, route payments through payment providers, send receipts or notifications, and reconcile transactions;
  • Import, organize, display, and reply to CRM or support communications when authorized by connected mailbox owners or business customers;
  • Monitor reliability, debug errors, apply rate limits, prevent abuse, and improve the Services;
  • Analyze Service traffic and marketing effectiveness, including through analytics and tag-management tools where enabled;
  • Meet contractual, legal, regulatory, tax, accounting, and Payment Card Industry (PCI) obligations;
  • Protect rights, safety, security, and the integrity of our Services.

Cookies and analytics

We and our service providers may use cookies, local storage, pixels, and similar technologies to keep users signed in, protect forms from abuse, remember preferences such as theme or interface state, maintain shopping cart and session behavior, measure traffic, and understand how the Services are used.

We may use third-party analytics, tag-management, embedded-form, video, or documentation tools that set their own cookies subject to their policies and your browser controls. You can manage cookies through your browser settings. Blocking certain cookies may limit Site or portal functionality.

How we share information

We may share information with:

  • Service providers that assist with hosting, databases, email, communications, CRM, analytics, support, documentation, security, backups, monitoring, and similar functions, subject to confidentiality or processing terms where appropriate;
  • Payment, POS, gateway, banking, hardware, and integration partners when needed to provide merchant services, route transactions, fulfill orders, troubleshoot systems, or complete requests you or a business customer authorize;
  • Business customers and authorized users for whom we operate portals, APIs, CRM tools, metrics, reporting, or integrations, in accordance with permissions, contracts, and applicable law;
  • Professional advisers such as legal, accounting, insurance, compliance, or security advisers;
  • Authorities or other parties when required to comply with law, court order, lawful request, contract enforcement, fraud prevention, or protection of rights, safety, or security.

We do not sell personal information for monetary consideration as that term is commonly understood under U.S. state privacy laws.

Security

We maintain administrative, technical, and organizational safeguards designed to protect information appropriate to the nature of the Services, such as access controls, session protections, CSRF protections, encryption or tokenization where appropriate, network and application hardening, rate limits, and logging. Some credentials, tokens, and secrets are encrypted or stored in managed secret mechanisms when configured.

No online transmission or storage is completely secure. Please contact us promptly if you believe any account, token, mailbox connection, API key, order, payment session, or submission may have been compromised.

Retention

We retain information for as long as needed to provide the Services, maintain business and support records, operate customer-authorized integrations, resolve disputes, enforce agreements, and comply with legal, accounting, tax, security, and compliance obligations. Retention periods vary depending on the type of data, customer instructions, system configuration, and applicable law. Some transaction or operational datasets may have defined retention windows; backups and logs may persist for limited periods after primary records are changed or deleted.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or restrict certain processing of personal information, or to opt out of certain disclosures to third parties for targeted advertising. State laws differ and some rights apply only to specific categories of data.

If your information is processed through a Service we operate for a business customer, we may direct your request to that customer or handle it under that customer's instructions. Children

The Services are intended for businesses, authorized users, and adults seeking payment processing, POS, integration, ordering, or support services. They are not directed at children under 13, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. We will revise the effective date above when changes are posted. Material changes may also be highlighted through the Site or other reasonable notice.
